County Jamboree Project Team

Think big. Dream wild. Act Together.

In Summer 2023, more than 40,000 Scouts from all over the world will gather in Korea for the 25 World Scout Jamboree. We are so proud that thousands of UK young people aged 14 to 17 and their leaders will be there, we will call ourselves the UK Contingent.  

Our local county unit in South Yorkshire will be more than just travel buddies, they are planners, fundraisers, motivators, and mentors. We have got a lot to achieve in a short time, but South Yorkshire will leap at the challenge as we… Think Big. Dream Wild. Act Together. 

This is a kick start to the process of ensuring as many eligible young people in the county can experience a world scout jamboree. 

We are now looking for people to be seconded to the County Team to support the establishment and development of all aspects South Yorkshire’s participation in the Jamboree.  If you wish to be part of this team, please complete the application form,  by 11 July 2021.

We are very open to the amount of people who can be part of this project team, but looking for interest, enthusiasm, and skills in the following areas:

Planning

  • Responsible for the end-to-end planning of the project in consultation with other members of the project team
  • Identify critical points in the plan and work with project team members to mitigate the risks.
  • Track progress of the plan and risk assess (RAG) all elements monthly. Escalate risk appropriately to secure rapid improvement.
  • Administer project team meetings and track and chase agreed actions. 

Financing

  • Work with county administration to ensure that participants and their supporters all keep to the agree payment profiles.
  • Ensure confidentiality, but assertively intervene where stage payments slow down or become stalled.
  • Ensure that county has sufficient funds to cover its payment profile with HQ.
  • Ensure that county start-up funding is deployed and used for eligible activities.
  • Ensure that the financial planning for the unit includes replenishment of the legacy fund.  
  • Work closely with the communications team to ensure as much of the process can be digitised.
  • Some financial experience would be an advantage in this role

Fundraising

  • Support the unit with fundraising, to ensure that the maximum funds are available to meet the individual payment profiles.
  • Mentor and motivate the leaders and participants to ensure 100% participation in fundraising activities.
  • Maximise the fundraising by research and applications for local appropriate grants.
  • Devise and execute a campaign to secure employer sponsorship (cash or kind) of the unit. 

Communication

  • Develop and implement an agreed communication strategy, including supporting all the leaders and participants in the appropriate use of social media.
  • Support all communication aspects of this project teams work, including the maximum digitised information flows.

Recruitment of Leaders

  • In conjunction with other members of the project team develop and administer the end-to-end process of the recruitment of the leaders fully in line with the overall project plan, which includes:
    • Working with the communications lead in generating interest
    • Developing and the administration of the application and sifting process.
    • Developing and the administration of the assessment day.
    • Collating recommendations from the assessment panel and follow through with the drafting approval note to the county executive for endorsement.   
  • Collate and discuss with the project team the training needs of the successful applicants, so that their agreed needs can be effective met.
  • Work closely with the communications team to ensure as much of the process can be digitised

Support for the leader team

  • Provide individual and collective mentoring and support for the agreed leader team.
  • Manage the leaders agreed collective and individual learning and development for the role. 
  • Previous experience of jamboree (or expedition) leadership is desirable for this role.

Recruitment of participants

  • In conjunction with other members of the project team and the newly appointed leader team develop and administer the end-to-end process of the recruitment of the participants fully in line with the overall project plan, which includes:
    • Working with the communications lead in generating interest
    • Developing and the administration of the application and sifting process.
    • Developing and the administration of the assessment day.
  • Work closely with the communications team to ensure as much of the process can be digitised
